Look it up in the manual at this site under Cartridge Protection. You should be able to use refills after disabling this feature.
When it comes to being unable to print in black when out of cyan, this is standard practice for all manufacturers. It's to keep you from scratching the printhead, which may cost as much as a new computer to replace with your machine.
